This Privacy Notice, in conjunction with our standard Terms and Conditions, sets out how we, collect, store and process personal data about you when you make a booking with us either by telephone, email, via the ParkviewArran website, or other accommodation advertising or booking website we may list our property on (e.g. Airbnb, TripAdvisor) or any other method.

This policy covers all users of our website, individuals who contact us by email or by our online contact form or who are guests who make a booking, members of the guest’s party and any other individual about whom we collect personal information.

Maintaining the security of your data is our priority, and we are committed to respecting your privacy rights.  We pledge to handle your data fairly and legally at all times. We are also dedicated to being transparent about what data we collect about you and how we use it.


How we collect data

  • When you make an enquiry through the ParkviewArran website, make a booking through the Bookalet form on our website or social media channels or contact us by email.

  • Through the use of our website using cookies.

  • By contacting us via phone, text, email, social media or in person and providing us with your information.

  • Occasionally from 3rd party sources.

What information we may collect

We may collect and process the following data about you:

  • Data that you provide by making an enquiry through the ParkviewArran website, by filling in the booking or enquiry forms on our website or our social media channels, or by texting, messaging, emailing or speaking to us. This may include names, addresses and contact details, holiday dates, the date and time the enquiry and/or booking was made, how payment was made and the correspondence between us;

  • Details of any accommodation bookings made including guest names and addresses, holiday dates, the date and time the booking was made, arrangements about booking, how payment was made and the correspondence between us;

  • Information you provide us in order to answer or respond to an enquiry you make via a telephone conversation, text, message, email enquiry or in conversation. A record of the conversation or correspondence may be kept;

  • Information relating to your visit to our website, which may include your IP address, location data, information about the device you are using to access the site, what pages you have viewed and at what time you viewed them;

  • These details will be used for the purposes of managing your enquiry and/or booking and any matters that may arise from your booking (e.g. for the purposes of returning property left in the house);

  • This includes information we may have noted to improve your experience as a guest (e.g. Mr G will be celebrating their 60th birthday during their holiday, guest has a cocker spaniel called Corrie, Mrs D is visiting her parents in Machrie, etc);

  • Sometimes guests send us photos or comments about their stay. We may share guest comments in our marketing activity but we will continue to hide the identify of guests by removing names, addresses or any other details which might identify a guest);

  • If you choose to book our accommodation via a 3rd party accommodation portal (such as Airbnb, TripAdvisor), they may pass your personal data to us along with details of your enquiry or reservation.


How we use cookies

We use cookies and information gathering techniques on our website in order to provide you with an enhanced user experience and also for us to gain a better understanding of how you use our site.

Cookies are small files that are typically created when you visit a website and are stored in the cookie directory of your computer. There are two types of cookie; Persistent and Session Specific. Persistent cookies are used to collect non personal data about how the site is being used. Session Specific cookie are used to enable you to navigate around our website and the Bookalet service and use its functionality. We also use Google Analytics to track who is using our site.

We only collect information only where necessary for the provision of our services to you.

How we use your data

We use your data to run ParkviewArran providing holidaymakers with a means of renting our accommodation.

  • To improve our business and website.

  • To fulfil our contractual obligations.

  • To make an accommodation booking for you.

  • To communicate with your regarding your accommodation enquiry or booking.

  • To fulfil our legal obligations.


Disclosure of information to 3rd parties

We will only disclose your data to the extent it is necessary to run our holiday accommodation business. If we buy, sell or transfer the business or any business assets we may disclose your personal data in order to effect the transaction.

When you use the Stripe payment facility to pay for your accommodation booking, we are required disclose the relevant personal data to Stripe in order for them to process your payment. This is done via our Bookalet booking platform.

We will also disclose your personal data where required by law or to enforce our own legal rights.

How long do we retain your data

We only retain your personal data for 7 years after your last booking with us. The personal information provided in general enquiries that do not convert into bookings may be retained for a period of 36 months.

Security of personal data and Information

We take appropriate and proportionate organisational and technical measures to secure your personal information and data and to protect it against unlawful use and/or accidental loss. All data is held on secure servers with access limited to authorised staff only. All data transferred to and from the bookalet platform is encrypted using Secure Socket Layer (SSL) technology.


Your rights

You may request us to provide you with any personal information and data we hold about you. Provision of this information is subject to you providing us with appropriate evidence of your identity.

You also have the following rights with regards to your personal data:

  • The right to have your information corrected;

  • The right to have your information removed;

  • The right to restrict processing of your information;

  • The right to object to processing of your information;

  • The right to receive your information in a portable format;

  • The right to complain to a supervisory authority.
